Eastern Michigan University's Traverse City office offers various one-week courses over a seven-week period at Northwestern Michigan College in Traverse City. There are a variety of disciplines taught in the program from history to teacher education. The EMU–Traverse City one-week courses offer students a unique learning environment.

Course set-up
The Extended Programs and Educational Outreach Section Creation and Approval Process is completed exclusively online at http://saf.emich.edu. If you do not have a username and password for the system, please talk to your department head or contact Shannon Ward at 231.995.1750 with information regarding your course.
Course dates
Many courses are taught in the standard times listed below; however we are open to flexible formatting options. If the schedule is not the format listed below, please contact Shannon Ward directly at 231.995.1750.
- Four credit courses start on Saturday at 2 p.m. and end the following Saturday at 2 p.m. (50 contact hours); Saturday 3-9 p.m.; Sunday – Saturday 8 a.m. to 3 p.m.
- Three credit courses start on Saturday at 4 p.m. and end the following Friday at 2 p.m. (37.5 contact hours); Saturday 4-9 p.m.; Sunday – Friday 8 a.m. to 2 p.m.
- Two credit courses start on Monday at 8 a.m. and end the following Friday at noon (25 contact hours); Monday – Thursday 8 a.m. to 2 p.m., Friday 8 a.m. to noon.
- One credit courses take place any consecutive three days for four hours (12.5 contact hours)
Field trips
- Must be indicated on the Instructor/Course Approval Form with approval from the department head and the program coordinator for payment of such expenses. The following information should be listed on the form: the name of the contact, cost of admission and mileage anticipated for each field trip. Students are responsible for their own admission.
Guest speakers, presenters, etc.
- Must be indicated on the Instructor/Course Approval Form with approval from the department head and program coordinator. In no case should a presenter be added without prior written approval from the home department and Extended Programs and Educational Outreach.
- Extended Programs and Educational Outreach will pay a $100 stipend for a guest speaker or presenter limited to one guest speaker or presenter per course.
- If requesting that Extended Programs and Educational Outreach pay a stipend, instructors must provide an attachment with the following information concerning the guest speaker or presenter: name, social security number, address, work and home phone numbers, e-mail address, description of services rendered, why this individual was selected, dates of service provided and hours worked.
After your course is approved by the department, you will receive an e-mail from Shannon Ward with the following information:

- Instructor Housing Forms: Days Inn and Suites; Great Wolf Lodge
- Course meeting dates and times Course Reference Number (CRN) and course prefix and number
- Classroom necessities (computer lab and software, room with sinks, room for performance)
Housing
The deadline for housing reservation is March 1.
- The instructor housing forms must be sent to the corresponding hotel/resort by March 1. Print the forms: Days Inn and Suites; Great Wolf Lodge
- In addition to the amenities listed on the housing reservation forms, please review the following information regarding the two options:

- Housing accommodations are as follows:
- Four credit courses - Saturday night through Friday night (seven nights)
- Three credit courses - Saturday night through Thursday night (six nights)
- Two credit courses - Sunday night through Thursday night (five nights)
- One credit courses receive three nights accommodations
- If residing in the Days Inn and Suites or Great Wolf Lodge, the hotel statement is directly billed to EMU.
- If you choose to stay later or arrive earlier, there is a space on the reservation form to reserve your room with a credit card. It is also recommended you plan ahead of time; Traverse City is a resort town and accommodations are limited.
- If you choose not to stay at a hotel/resort indicated on the instructor housing form you will be required to set up your own housing arrangements. You will also be required to pay directly for your housing arrangements, and Extended Programs and Educational Outreach will reimburse for the amount aligned with current federal per diem housing rates. Reimbursement will only take place after the receipt and itemized list of what was paid for is submitted. Please remember, EMU will not reimburse for state or local taxes.
- Remember if your course is cancelled due to low enrollment, Days Inn and Suites and Great Wolf Lodge will NOT penalize you with a cancellation fee as others will do.
Syllabi
The deadline to submit your syllabi is March 15.
- We require syllabi to be available to students who register for classes or for those interested in registering. Registration begins March 28, and this information is important for students trying to decide on a class.
- Submit the syllabi as a Microsoft Word attachment via e-mail to traverse.city@emich.edu. Alternatively, you can create your own Web page, and then simply send an e-mail with the URL.
- We recommend your syllabi include:
- Instructor spring and summer contact information.
- Book/course pack used for the course and where it can be purchased.
- Materials students should bring/complete prior to arriving in Traverse City, i.e., pre-class assignments, readings for the week, etc.
- How the student will be evaluated.
Classroom set-up
The deadline to request classroom set-up arrangements is March 15.
- Each class has its own individual needs and preferences. Please e-mail Jacqui Frensley or Shannon Ward with your classroom preference and needs. For example, does your class require tables and chairs, sinks, close proximity to the library, computer lab, a large area for performance or do you only plan to use the classroom only if it rains?
- We will do our best to place you in the classroom that best fits your needs. Enrollment will always be considered when assigning classrooms.
- If your class is in a computer lab you must also submit your software request. Please do not assume the software is already on the computer, as Northwestern Michigan College may not have the required licenses.
- Please do not assume the classroom will be only yours all week. There are many NMC evening classes throughout the summer. Therefore, you cannot leave your materials in the classroom.
- Class locations will be posted at on this site at least two weeks before the class begins.
Audio/visual
The deadline for audio/visual requests is March 15.
- Complete the audio/visual request form and fax it to the Traverse City office (231.995.1751) or e-mail the information to Jacqui Frensley. Click here for the audio/visual request form.
- Equipment available: white board, flip chart, TV/VCR, overhead projector, LCD projector, tape or CD player, laptop. Things not available include digital cameras or camcorders.
- Please do not assume that any equipment will be standard in your assigned classroom.
- We encourage you to bring your own laptop from the main campus due to the limited number available on Northwestern Michigan College’s campus.
- The Media Services personnel are available Monday-Friday 7:30 a.m.-5 p.m. and Saturday 3-5:30 p.m. to assist with challenges with equipment, laptop connections, etc. Media Services personnel can be reached by dialing 5-1070 with the campus telephone in your classroom and 231.995.1070 from off-campus phones. If you need additional equipment you must coordinate that request through the coordinator for the Traverse City program.
Course status
- The minimum enrollment needed for an undergraduate course is 15.
- The minimum enrollment needed for a graduate course is 10.
Marketing
- The strategic plan for marketing the Traverse City one-week format courses takes place all year. We do not market individual courses; only the entire program.
- In the student evaluation of the program, 50 percent of the enrolled students heard about the program through word of mouth. So promote your classes throughout your department and in your other classes.
Copy services
Copy requests should be made a minimum of two weeks before the start of your class.
- Extended Programs and Educational Outreach is committed to supporting faculty in their needs for instructional materials. Instructors should follow on-campus procedures for creating course packs. EPEO does not have the capacity of authorization to copy course packs or unusually large projects. We encourage instructors so investigate the eReserve resources or Web-enhanced eLearning tools available through the University to address some of these needs. Any copy requests must comply with copyright laws of the United States (title 17 U.S. code).
- Please arrange for your copies to be made prior to arrival. Any copy requests or other course materials exceeding $3 per student should be at the student’s expense. Extended Programs and Educational Outreach cannot reimburse for copies made at an outside vendor. Please contact Shannon Ward if you feel you have an extenuating circumstance.
The majority of EMU classes are held at Northwestern Michigan College's main campus. Directions to the other campuses are from the NMC main campus.

- North on I-75 to State Route 72

- Go East on US 31 (Front/Munson Street) to Airport Access Road Turn right on Airport Access Rd.

Parking
During the spring and summer months, EMU faculty and students do not need to obtain any type of parking permit. All main lots are available to the public; however, beware of parking in the residence lot on the main campus (Pine Lot), special needs parking places or other specially marked lots.
Library/Computer Lab Hours
EMU faculty and students will have access to the NMC Osterlin Library and Center for Learning (NMC main campus) and the Zonta Computer Lab at the University Center. The hours of operation will be available at on this site and will also be in your faculty packet the first day of class. Please note: There is an additional charge for every page printed in the computer lab.
EMU–Traverse City staff members will stop by your class periodically throughout the week. If you have requests or questions please ask. The following is a list of what to expect, each day.
Saturday
The EMU–Traverse City staff will be available in the office during the afternoon and until your class begins to help direct students and answer any questions. The majority of the operations are managed in NMC's main office.

Monday
The EMU-Northern Michigan Staff will bring your instructor’s packet including: most updated class lists, expense reimbursement sheet, maps of the Traverse City area as well as the campus, a list of the other courses and instructors teaching during the week, and any other information pertaining to your week in Traverse City.
Saturday and Monday
During the first hour of your class, an EMU–Traverse City staff member will give an orientation to your students and be available to answer questions.
Sunday
EMU–Traverse City office does not have regular business hours, however a staff member will go around to the classrooms between 7 a.m. and 8 a.m. to make certain the rooms are open. The staff member will also check back with you within the first hour-and-a-half to be sure there are no questions or requests.
Tuesday
EMU-Traverse City Program's Instructor Feedback and Collaboration Dinner: Extended Programs and Educational Outreach will cover the cost of ONLY you. Other family members are welcome however the University will not cover their meal. As always, alcohol is not included.

- Class minimums for credit courses:
- 10 students for graduate courses
- 15 students for undergraduate courses
- Overload rates:
- Tenure-track faculty and emeritus faculty $1450/credit hour
- Full time lectures and adjuncts $1100/credit hour
- Grading Stipends
- For lecturers and faculty teaching on an over-load basis, a grading stipend will be paid in addition to the salary, at the rate of $50 per student per credit hour to a maximum of $150/student, beginning with the 26th student.
- Grading stipend pay will typically be paid on the last pay of the semester.
Reimbursement for meals
The University will reimburse employees for meal expenses on a per diem basis. Per Diem rates are located by city on the Accounts Payable Web site. Receipts for meals are NOT necessary since actual expenses will not be reimbursed. Meals will only be reimbursed when overnight travel is required.
Since all food and beverages will be reimbursed at the IRS per diem rate, the University P-card may NOT be used for meals while traveling on University business.
EMU will provide reimbursement for $44 per day - $8 for breakfast, $12 for lunch, $21 for dinner, and $3 for incidentals. You are no longer required to keep receipts.
- Four credit course - reimbursement begins Saturday at lunch and ends the following Saturday at lunch (totaling a maximum of $299)*
- Three credit course - reimbursement begins Saturday at dinner and ends Friday at lunch (totaling a maximum of $243)*
- Two credit course - reimbursement begins Sunday at dinner and ends Friday at lunch (totaling a maximum of $199)*
- One credit course - reimbursement begins dinner the day before the class starts and lunch the day the class ends (totaling a maximum of $135 if weekend and $114 if it falls on a Tuesday)*
*Please note these totals take into account the Faculty Feedback/Collaboration Dinner provided for you on Tuesday evening.
Reimbursement for mileage
- When you submit your Acknowledgement Form to Extended Programs and Educational Outreach, you will automatically receive the roundtrip mileage from EMU to the center point of Traverse City which is 492 miles at a rate set by EMU Board of Regents.
Note: You will not receive mileage from your hotel to the classroom or gasoline reimbursement.
- Additional mileage will only be reimbursed if a field trip was indicated on the EPEO Course/Instructor Approval Form, signifying the estimated amount of mileage to be reimbursed. Shannon Ward will provide an additional sheet to be included with the reimbursement envelope listing the exact mileage.
Reimbursement procedure
- By signing the Acknowledgement Form included in the instructor packet, you will agree to comply with the University reimbursement policies. EMU-Traverse City staff will ask you to sign this form the first day of class so the paperwork can be processed immediately.
- Instructors will receive $44 per day and the mileage to and from Traverse City within 2-4 weeks after the start of class.
- If you have additional expenses such as alternative housing or prior approved copy receipts you will receive a blank Employee Reimbursement/Travel form to attach your receipts and submit. Please make a copy of the receipt and send the documents to Extended Programs and Educational Outreach in 101 Boone Hall, Attention EPEO Accounting or drop them off at the Traverse City office in the lower level of East Hall. Most likely a second check will be cut with that amount.
